A spectator trip and a participation trip look identical on a quotation and behave nothing alike. The client who is running has an entry in their own name, a start time that cannot move, a bag to drop at a set place before a set hour, and a body that will not deliver a full sightseeing day afterwards. Everything downstream of that — the hotel, the night before, the afternoon, the supporters — follows from the gun time rather than from the itinerary.

韩国 anchors its spring on the Seoul Marathon, set for 21 March 2027, with overseas registration having opened on 1 September 2026 — and the entry window, not the race date, is what decides whether you have a group at all. The full course carries a qualifying time of under five hours net while the 10K asks for no qualifying record, which is the single fact that splits most groups in two. Chuncheon's international marathon, a World Athletics Gold Label race since 2013, is the autumn anchor; listings disagree on its next edition date, so take that one from the organiser and nowhere else.

日本 runs the most heavily subscribed mass-participation calendar in the region, and the operative word is ballot rather than booking. Entry is frequently allocated rather than sold, which changes the whole shape of the file: you are building a trip around an outcome the client does not control, and the cancellation terms have to say so.

泰国 and 印度尼西亚 are the heat-and-humidity end of the market, which is a scheduling fact rather than a warning. Races there start very early for a reason, the field is more international and less qualifying-gated, and the trip around them is usually a leisure week with a race in it rather than the other way round.

The entry belongs to the runner, not to you. Race entries are personal, usually non-transferable, and often capped or balloted. You are not selling the entry; you are selling everything around it, and the contract should say that in a sentence rather than imply it.

The start time fixes the whole file. A forty-minute transfer at five in the morning is a different proposition from a ten-minute walk, and it decides the hotel. It also decides the night before, which is not a night for a long dinner.

Race day is not a touring day. After a marathon your client will manage a shower, a meal and very little else. Programme the afternoon as recovery and put the sightseeing on the day after, or you have sold a day nobody uses.

The supporters need their own plan. Every runner brings one or two people with six hours to fill and one very specific request: to be at a point on the course at roughly the right time. That is a transport and timing job, and it is the half that gets forgotten.

  • Confirm the registration window before the race date. A closed entry list ends the trip regardless of what else is booked.
  • Ask every participant about qualifying times early. It is the fastest way to discover that half the group belongs on the shorter course.
  • Book against the start area, not the city centre. On race morning proximity beats a better address, every time.
  • Treat pack collection as a real appointment. Its own venue, its own hours, its own queue, and usually the runner in person with identification.
  • Sort the bag drop and the finish-area reunion. Phones are in the bag and the finish area is crowded; the meeting point is agreed before anyone starts.
  • Arrange breakfast for the actual start time. Hotel breakfast frequently begins after a road race has started, and this is asked for in writing.
  • Brief the supporters on transport. Road closures move the metro from convenient to essential, and a coach will not reach where a supporter wants to stand.
  • Put a recovery afternoon and a late checkout in the plan — not as an upgrade, but as the shape the day actually has.

In the days either side, not in race day. A client who has flown for a race will usually stay a week if the week is good, and that week is an ordinary itinerary you already know how to sell. In the supporters' programme, which is a second group with one fixed constraint. In the logistics nobody else wants to do — an early transfer, a packed breakfast and a known meeting point are cheap to provide and are what the client remembers. And in the club and charity market, where running clubs travel together, return annually and recruit their own numbers.

Do you sell race entries? No. Entries are personal to the runner and obtained from the organiser, and we say so to clients in writing. We handle everything around them.

What happens if a client does not get a ballot place? The trip has to be written so it survives that, which means cancellation terms agreed before anyone pays and, where possible, a shorter distance or a nearby event as a fallback. This is the single most common way a Japanese race file collapses.

How early should we start? From the registration window rather than from the race. For a spring marathon that can mean the previous autumn.

Can you handle a mixed group of runners and non-runners? That is the normal case and it is two programmes on one file: one built around a gun time, one built around a viewing point and six free hours.

What about cycling and trail events? Same shape, plus a bike-transport problem that needs settling before anything else is booked.
