A rooming list is written in the agent's home market and read in the destination's. "Twin", "triple" and "family room" do not mean the same thing in a Tokyo business hotel, a Korean guesthouse, a Phuket resort and a Bali villa — and the gap only shows at check-in, in front of a tired group.
Each of our four destinations has a room convention that a rooming list should be written against. Getting it right is not a hotel negotiation; it is a matter of asking for the room that actually exists.
Japan: kleine Zimmer, genaue Begriffe
City hotels in Japan, and business hotels in particular, are compact, and the distinction between a twin (two beds) and a double (one bed) is strict and not interchangeable at the desk. Triple rooms are scarce in many city hotels, so three friends sharing is often a twin plus a single rather than one room. Write the bed type, not just the occupancy.
Ryokan work differently. Rooms are usually priced per person, commonly with dinner and breakfast, and a Japanese-style room sleeps several guests on futons laid out in the evening. That makes a ryokan night efficient for families and small groups sharing, and expensive for single travellers, who often pay a supplement for a room built for more.

City hotels in Korea follow the international pattern. Traditional stays do not: in a hanok, and in many ondol-style rooms, guests sleep on mattresses laid on a heated floor. It is comfortable and warm in winter, and it is exactly the room some clients will not expect. Flag it on the rooming list and in the itinerary, and offer a Western-bed alternative to anyone who needs one for mobility reasons.
Thailand: flexible Zimmer, versteckte Kosten
Resorts and hotels in Thailand are generally flexible about extra beds and triple sharing, often through a rollaway or a sofa bed in a larger room category. The flexibility has a price: the third bed is usually charged separately, and breakfast for the third person may not be included. Put both on the rooming list, so the room charge the client sees at check-out matches the one they were quoted.
Indonesien: die Villa als Einheit
In Bali, a large share of premium stock in Indonesien is villas with several bedrooms around a private pool, priced per villa rather than per room. For a group, that turns rooming into allocation: which clients share a villa, and whether every bedroom in it is of the same standard. A three-bedroom villa with one master and two smaller rooms is a rooming decision the agent should make before arrival, not the clients at the gate.

State the bed configuration for every room — twin, double, extra bed, floor bedding — rather than the occupancy alone. Mark mobility needs against the room, not in a general note. And for any shared villa or ryokan room, name who is sharing with whom, because the property will allocate by the list and nothing else.
